Why the Google account matters
Gemini can be a standalone assistant, but its most interesting business use appears when it works close to Google Workspace. That can include content in Gmail, Drive, Docs and other Workspace services that the signed-in user is already allowed to access.
Google says Gemini in qualifying Workspace editions respects existing Workspace permissions and does not use Workspace content to train generative AI models outside the organisation without permission.

Before enabling clever cross-Workspace features, tidy the underlying sharing first. AI does not need to break permissions to surface something awkward; it may simply make legitimately accessible but forgotten information much easier to find.

Five checks worth making
- Confirm which Google account is active. Personal and managed Workspace use have different controls and protections.
- Review Drive sharing before relying on AI. Old inherited access can become much more visible when search and summarisation improve.
- Check admin settings. Workspace administrators can control availability and data protections across the organisation.
- Separate client or sensitive work where practical. Shared Drives and narrower groups make access easier to reason about.
- Do not confuse permission with appropriateness. Being technically able to read a file does not mean it should be used for the current task.

Consumer Gemini settings are controlled by the individual and should not be assumed to have the same protections as an organisation's managed Workspace environment.

For qualifying Workspace editions, Google says existing Workspace protections and permissions continue to apply to Gemini and Workspace content is not used to train generative AI models outside the domain without permission.
Admin-managed AI use
Workspace administrators can control feature availability and organisational settings. This is where AI becomes part of the same access-governance problem as Drive, Gmail and the rest of Workspace.
