AI inside the company notebook
Notion is often where strategy notes, project plans, meeting records and internal documentation accumulate. AI search and agents make that material easier to query and act on.
That is useful precisely because the workspace already contains context. It also means old pages, broad teamspaces and connected apps deserve attention before AI starts joining the dots.
Securedby.ai view
Think about Notion AI as a new interface over your existing workspace permissions. Clean page and teamspace access first, then connect external apps deliberately rather than treating every integration as harmless convenience.
The broader principle is covered in Too much power: why AI agents shouldn't have access to everything
Five checks worth making
- Review teamspace membership. Broad teamspaces can expose far more than one obvious page.
- Check guest access. External collaborators may have historical access that no longer makes sense.
- Review connected apps individually. A search connector changes the information boundary beyond Notion itself.
- Separate sensitive knowledge. HR, finance and client-confidential content should not rely on everyone remembering not to search it.
- Give agents a narrow job. Action-taking features should have a defined purpose and limited scope.
Personal vs managed use
Personal or small workspace
Simple to use, but settings and sharing are often managed informally by the same people doing the work.
Team workspace
As more people, teamspaces and databases are added, permission inheritance and guest access become more important than the individual AI prompt.
Enterprise-managed workspace
Centralised identity, security and administration can make AI use easier to govern, especially when Notion becomes a large internal knowledge system.
